How to convert Excel to PDF and fit it to one page

  1. Add your workbooks

    Drop an .xlsx workbook, or several.

  2. Check the settings

    Choose all sheets or just the first. Leave Fit each sheet to the page width on so wide sheets aren’t cut off; Auto orientation uses the sheet’s own print setting, or landscape when it’s wide.

  3. Save the result

    Press Make PDF. Rows that repeat at the top in Excel’s print titles repeat on every page here too.

Why it doesn’t upload

Workbooks hold budgets, salaries, client lists and forecasts, often with hidden sheets and old versions of the numbers. Printing one to PDF in your browser means none of it is copied to a conversion server.

Worth knowing

  • Formulas print the value Excel last saved with the file. Nothing is recalculated, so a workbook saved by a program that doesn’t store results shows those cells empty.
  • Charts, text boxes, shapes and conditional formatting aren’t drawn yet. Cell values, pictures, fills and borders are.
  • Old .xls files (Excel 97–2003) need saving as .xlsx first: open in Excel, LibreOffice or Google Sheets and choose .xlsx.
  • Hidden sheets, rows and columns stay hidden, as they would when printing from Excel.

What happens to your file

Each worksheet is rebuilt close to how Excel prints it: column widths, row heights, number formats, fonts, fills, borders, merged cells and pictures, with hidden rows and sheets left hidden and the print area respected. The layout is then painted into the PDF as real text.

Questions

How do I convert Excel to PDF on one page?

Keep Fit each sheet to the page width on. Every column fits across the page; a long sheet still runs onto more pages, the way Excel’s “Fit all columns on one page” works.

Will my number formats and colors be kept?

Yes: currencies, thousands separators, decimals, percentages, dates, cell fills, font colors, bold and italic, borders and merged cells all come across.

Can I convert only one sheet?

Choose First sheet only, or hide the sheets you don’t want in Excel before converting. Hidden sheets are never printed.

Why are some formula cells empty?

The PDF shows the result stored in the file. Files written by some scripts and apps store the formula without its result; open and save the file in Excel or LibreOffice to fill them in.

How do I get a table from a PDF back into Excel?

That’s PDF to Excel, which rebuilds the tables in a PDF as spreadsheet rows and columns.
