PDF tools for freelancers
Freelance admin is invoices out, receipts in, and proposals that have to look right on someone else’s screen. It is also the work least worth paying a monthly subscription for, since it amounts to a few minutes a week — which is the whole argument for tools that run in your browser and cost nothing.

What tends to go wrong

Send an invoice that looks the same everywhere
An invoice built in a spreadsheet becomes a page with the column widths, currency formatting and totals fixed. The client cannot accidentally edit a figure, and it opens without the right version of Excel.

Phone pictures become a single PDF in the order you took them. One file to hand to an accountant, or to keep as the record behind a expenses claim.

Where pricing should not be forwarded casually, a password on the file is a reasonable, low-friction control. Give the password to the client separately.

Keeping records you can still read in six years
Tax authorities generally expect records to be kept for five or six years, and a folder of phone photographs is a poor way to hold them: the file names mean nothing, the order is the order they were taken, and half of them are unreadable at a glance.
Combining each year into one PDF, in date order, with the pages the right way up, turns that into something that can actually be searched and handed over. It takes a few minutes once a year.
Where a receipt is a photograph rather than a generated document, the text in it is not searchable — that needs OCR, which is not live here. The practical answer is to keep the order meaningful, so a receipt can be found by date.
Questions
Do I need a paid PDF subscription for freelance admin?
For invoices, receipts, proposals and portal uploads, no. Those are the jobs a browser can do, which is why they are free here with no cap and no watermark.
Will a client be able to edit my invoice?
Not casually. A PDF exported from a spreadsheet is fixed artwork rather than live cells, so figures cannot be altered by opening it. Flatten it as well if it contains form fields.
My photographed receipts are sideways. Can I fix that in the combined file?
Yes — rotating pages writes the correct orientation into the document, so it stays right way up everywhere rather than only in the viewer where you turned it.
Is a password on a PDF enough to protect my rates?
It stops casual forwarding, which is usually the real risk. It is not a guarantee: anyone with the password can remove it. Send the password by a different channel from the file.
